A patient can be charged immediately after the visit, or you or someone in your billing department can process the charge later.
Billing a Patient in eVisit
When a provider completes a visit you have the option to charge the patient immediately, or you can process the charge a later time.
Note that only completed visits can be charged. If a visit was cancelled or a patient did not show for their appointment, you will not be able to charge for the visit. Additionally, once a patient has been charged for a visit, the visit can’t be charged again, nor can the amount charged be altered or refunded.
Process a Charge Immediately After a Visit
After completing a visit with a patient, you can charge their credit card immediately before moving on to your next appointment.
To charge a patient immediately following a visit, follow these steps:
- In the visit sidebar, click the Payments tab
- Then, in the “Amount to charge” field, enter the fee for the visit
Note: If there is a set fee associated with the visit type, the field will pre-populate with that amount. - Click Charge
In the Visit History tab, a green payments icon will display on the patient’s visit row indicating they have been charged for the visit.
Process the Charge at a Later Time
There may be times when you or a member of your staff is not able to immediately charge a patient after their visit. Things happen in the clinic, people call in sick, schedules get doubled up, and emergencies happen. Fortunately, eVisit provides an easy way to locate these uncharged visits and complete the billing process.
Note that once a patient has been charged for a visit, the visit can’t be charged again, nor can the amount charged be altered.
- To begin, log in to your eVisit account
- Click Visit History
- By default, visits are listed in reverse chronological order; use the filters above the list to search for a specific visit
You can filter by the Visit Status, Visit Kind, Provider, and/or Date Range.
- On the right side of the visit row, click More.
- Click the Payment icon
- In the “Amount to charge” field, enter the fee for the visit
- Click Charge
In the Visit History tab a green payments icon will display on the patient’s visit row indicating they have been charged for the visit.
Download a Visit Summary
A summary of each completed visit is available at the end of a visit. The visit summary provides information regarding the fees associated with that visit and contains the visit ID which can be used to search for a visit. If needed, download this document for your organization’s records and auditing purpose. Ensure that you store the Visit Summary in a secure and encrypted device as it contains Protected Health Information (PHI).
To download a patient’s visit summary, follow these steps:
- Click Visit History
- Use the Search field to find a specific patient visit
- Enter the patient’s name, a list of visits that match the name and date range you entered will appear
- Find the correct patient and visit and click Download
A PDF of the visit summary will automatically download to your device.
